CountedIn – Digital Attendance Management System [Case Study]

CountedIn is a product I designed and developed to solve the inefficiencies of traditional attendance-taking methods during college events. By digitalizing the process, CountedIn eliminates manual errors, prevents proxy attendance, and ensures a seamless experience for both students and event organizers.

The Problem

During college events such as placement drives and awareness programs, attendance was traditionally collected using a paper sheet passed around the auditorium. This method had several issues:

  • Disruptions & Inefficiency – Passing the sheet during events disturbed the decorum.

  • Data Errors & Missing Entries – Some students missed signing due to logistical challenges.

  • Proxy Attendance – There were cases of students signing in for absent friends.

A more efficient, accurate, and automated system was needed to address these pain points.

The Solution

CountedIn introduced a QR-based digital attendance system with three key user roles:

  1. Students (Mobile App) – Used to scan QR codes and mark attendance.

  2. Organizers (Web Platform) – Managed events and collected attendance records.

  3. Admin Support Team – Resolved technical issues and assisted users.

How It Works

Student App (Mobile)

  • - Students sign up using their college ID and undergo biometric authentication to prevent misuse.

  • - At the start and end of an event, organizers display a dynamically generated QR code.

  • - Students scan the QR within 1-2 seconds to confirm attendance (prevents screenshot forwarding).

  • - A Past Events section allows students to track attendance history.

  • - In-app support is available for troubleshooting.

Organizer Website (Web Platform)

  • - Organizers sign up using their Employee ID and set a 4-digit PIN for security.

  • - They create events and generate real-time time-sensitive QR codes for student check-ins.

  • - Post-event, they can view, manage, and export attendance records in PDF/CSV formats.

  • - A Past Events section provides access to historical data for easy tracking.

Impact & Outcome

CountedIn successfully transformed attendance management in college events, offering a user-friendly, secure, and automated solution. This project highlights my ability to identify real-world problems, design intuitive user experiences, and implement practical solutions.
