Done- Case Study
Time management has always been a challenge for me as a freelance graphic designer transitioning to product design. This inspired me to create Done ✅, a productivity app that simplifies task management and keeps users focused.
The journey began when I decided to transition from a freelance graphic designer to a professional product designer. I started practicing and learning through online courses, but soon faced a challenge: distractions from my phone would consume 15 minutes of my time, leaving me demotivated. I began setting alarms to stay focused during work. Over time, I even added motivational notes to these alarms to remind me of my goals. Managing multiple platforms like Trello, Notion, and Google Calendar became overwhelming, and I wished for a single app to handle it all. That’s how Done ✅ was born.
Done ✅ - Simplify Tasks, Amplify Focus
Managing tasks and staying focused can be challenging in a world full of distractions. Done ✅ is designed to empower users to manage their time effectively, reduce stress, and amplify productivity through smart, user-centered features.
What’s inside?

This project is a reflection of user research, creativity, and a passion for solving productivity challenges. Let’s simplify tasks and make focus effortless together!
To create a user-centered design, a short survey and interview conducted to understand the pain points and needs of individuals struggling with task management and focus. These findings guided the development of Done ✅, ensuring the product aligns with user expectations and solves real-world challenges.
Sara’s story helps to design features that align with her goals and frustrations, making Done ✅ a tool that truly meets user needs.
I explored what users like Sara say, think, do, and feel.
From awareness to loyalty, the journey mapped to understand how users discover, evaluate, and interact with Done ✅.
To ensure Done ✅ stands out, a detailed benchmarking analysis of popular productivity tools like Trello, Notion, Slack, and Microsoft To-Do conducted. The comparison highlighted key opportunities and gaps, helped prioritize features such as focus-enhancing tools, task notifications, and seamless collaboration options.
This competitive research shaped the strategy to deliver a more user-centric and efficient experience.
During the brainstorming phase, I focused on key questions like "How might I improve user focus?" . This creative process led to actionable ideas such as:
Implementing distraction-blocking features
Introducing personalized notifications
Adding diverse visual themes
By centering discussions around user needs, practical and innovative solutions generated to address the challenges users face.
Simplifying the Journey Designing seamless experiences starts with a clear structure and flow! Here's how Done ✅ ensures users stay focused and productive:
Information Architecture: A logical hierarchy for effortless navigation, from task management to focus tools and notifications.
User Flow: A step-by-step process guiding users through essential actions, like planning tasks or starting a focus session.
Task Flow: Streamlined paths for specific actions, such as setting up a timer or tracking progress, to minimize distractions.
Designing for clarity and usability—exploring the journey from wireframes to a polished interface.
Starting with Low-Fidelity Wireframes, the core structure and flow outlined by focusing on functionality. Transitioning to High-Fidelity Wireframes, the layout and visual details refined to create a seamless experience.
To ensure the best design choices, an A/B Test conducted, where version A outperformed version B, providing valuable insights into user preferences.
The final Interface Design showcases both Light and Dark Modes, catering to diverse user preferences and enhancing usability across different environments.
Additionally, thoughtful Notifications and a customizable Clock Feature incorporated to keeping users engaged and productive.
To make the task completion journey seamless and engaging, an onboarding experience designed that helps users add a real task to their home screen while exploring how the app works. By avoiding empty screens, this approach motivates users to dive in and keep going.
During usability testing, 5 users asked to complete the task of changing the clock theme. Their interactions provided valuable insights into improving the app’s usability.
Insight 1: Users wanted the ability to change the clock theme directly from the timer start page after setting the timer. This feature was implemented, as shown in the image on the left.
Insight 2: Some users clicked on the theme itself instead of the "Choose" button. We identified two reasons for this behavior:
The "Choose" button lacked enough visual emphasis, which was addressed in the image on the right by enhancing its visibility.
Users preferred a larger clickable area for easier interaction. To accommodate this, the theme areas were made interactive in addition to the "Choose" button.
These updates make the app more intuitive and user-friendly, aligning with real user needs and expectations.
Done ✅ aims to make productivity accessible to everyone. By focusing on reducing clicks and simplifying navigation, it ensures users spend less time managing tasks and more time achieving them.
