Overview

A customer requested a "Waiting Room" feature for our virtual interview platform, Facecode, aimed at enhancing the interview experience by allowing candidates to wait until all interviewers are ready. This feature would help interviewers prepare for a more structured and organized session, allowing time for pre-discussion and any last-minute adjustments before the candidate joins.

Key Requirements & Challenges

To implement the Waiting Room feature, we needed to address a few primary use cases and ensure a smooth, intuitive experience for both interviewers and candidates:

Controlled Candidate Entry

Candidates should not be able to join the interview room until at least one interviewer has joined the session. This prevents candidates from prematurely entering and ensures interviewers have sufficient time to set up.

Preparation Time for the Interview Panel

The interview panel should have a dedicated buffer time to review the interview agenda, select question types, and prepare before the candidate is admitted.

By giving interviewers control over when the candidate joins, the panel can have last-minute discussions or adjust the focus of the interview, aligning on important topics.

Private Interviewer Discussions

Interviewers should have the flexibility to move the candidate back to the waiting room temporarily, if necessary, for any discussions that require privacy.

This option ensures that the panel can collaborate freely without the candidate’s presence, then readmit them when ready.

Solution Implementation

To create a seamless Waiting Room experience, we: Designed an intuitive waiting room interface that notifies the candidate of the interview’s start time and updates them when they can join.

  • Implemented moderator controls for interviewers, allowing one-click access to admit the candidate, send them back to the waiting room, and notify the candidate with estimated wait times.

  • Added visual indicators to help the panel see who is in the waiting room and who is active in the interview, ensuring smooth transitions.

Outcome

This Waiting Room feature provided a more structured interview process on Facecode, meeting our customer’s need for flexibility and control, ultimately resulting in better interview experiences for both candidates and interviewers.
