Kolecto - Centralize, control and pay purchasing invoices

Kolecto is a fintech platform that empowers SMEs to streamline their financial management by creating, centralizing, analyzing, and acting on sales and expenses invoices and transactions efficiently. Kolecto support businesses in the electronic invoicing transition.

Define goals and understand user needs

  • Before starting the design, it was essential to fully understand the needs of end users (managers and administrative staff) and the challenges they face.

Key steps:

  • User Interviews: I conducted interviews with about ten potential users to identify their needs and pain points in managing supplier payments.

  • Analysis of Existing Workflows: Observed and analyzed payment processes already in place within companies, as well as the tools they use (Excel, ERP, etc.).

  • Benchmarking: Studied competing solutions to understand best practices and identify critical features.

  • Definition of Priority Features (Jobs To Be Done).

Design and prototypes

Once the features were defined, we initiated the design process in several stages:

  • Wireframes and User Journeys: Created wireframes to map out the key user journeys (centralizing and verifying invoices, payment, and scheduling). This ensured the workflows were smooth and intuitive.

  • Interactive Prototype: Developed a high-fidelity prototype on Figma to test the experience and gather internal feedback.

  • Design System: Built specific components within Kolecto's design system to ensure consistency and scalability.

User tests and iterations

To validate the prototype, we organized several user testing sessions. These tests made it possible to identify friction points and possible improvements.
